
Having a wedding planner team on site is something couples don’t always think about when choosing their planner. I recently had a consultation call with a couple who asked me a question I had never been asked before: “The venue has a team, and the caterer has a team. So why do you need a team on site too? What does your team actually do?”
It was such a valid question. When you’re planning a wedding, it can seem like there are already plenty of people there to make everything happen. Your venue has staff, your caterer brings a team, and your photographer may have a second shooter. Your florist may also have several people handling installation. So where does the planning team fit into all of that?
While each vendor plays an incredibly important role, they’re responsible for their specific part of the wedding. Your wedding planner team is there to look after the wedding as a whole.












Your caterer focuses on food, beverage, service, and making sure dinner runs smoothly. Your photographer focuses on documenting the day. The florist brings the floral design to life. Meanwhile, the venue team takes care of everything that falls within the venue’s scope.
As your planning team, we’re working alongside all of those people. The difference is that we’re looking at everything together. We’re thinking about the timeline, the couple, wedding party, family, guests, transportation, and vendor arrivals. We’re also watching setup, the ceremony, cocktail hour, reception, and all the transitions in between. Most importantly, those things aren’t happening one at a time.
While one of us checks the ceremony space, another person may be with the wedding party. At the same time, someone may need to answer a vendor question or check on transportation. Personal flowers may need to reach the right people, or the reception space may need one last walkthrough.
One planner can’t physically be in every one of those places at once. We also don’t want to rely on your photographer, caterer, venue coordinator, or family members to fill those gaps. They have their own jobs to do. That’s where having a wedding planner team becomes so valuable.

















One of the hardest parts of explaining our role is that, when we’re doing it well, you may never know about half of what happened behind the scenes.
Weddings rarely follow a timeline down to the exact minute. Portraits may take a little longer than expected, so we adjust what comes next. A family member may be missing when it’s time to line up for the ceremony. Transportation might arrive a few minutes late. Weather could force us to make a decision earlier than planned. Those things happen, but they don’t necessarily need to become your problem.
Our team communicates with each other and your vendors throughout the day. We make adjustments and figure out what needs to happen next. Someone can handle what’s happening in the moment while another team member looks ahead. That allows us to stay proactive instead of spending the entire wedding day reacting to problems as they happen.


















There’s another important difference between your planning team and the other teams working your wedding. We didn’t simply arrive that morning with a timeline in hand.
We’ve been part of the process leading up to your wedding. We know why you chose certain details and which parts of the day matter most to you. We remember the conversations we’ve had with your vendors and the flow we’ve planned. We understand the design decisions we’ve made together. We also know about those little details you mentioned months ago that might suddenly matter on the wedding day.
All of that context becomes incredibly valuable when we need to make a quick decision. We’re not simply asking, “What’s the easiest solution?” We’re thinking about what makes the most sense for your wedding. Our goal is to stay as close as possible to the experience we’ve spent months creating together. A venue or catering team can’t always do that for you. It’s not because they aren’t wonderful at their jobs. It’s simply not their role.

Having a planning team on site isn’t about replacing or managing every other vendor. Weddings are incredibly collaborative. We want every person you’ve hired to have the space and information they need to do their job well.
Part of our role is making that easier. For example, your photographer may realize portraits are running ten minutes behind. Instead of asking you what to do, they can come to us. We can adjust the timeline and let catering know that dinner may need to shift slightly.
If transportation arrives, we can make sure everyone gets where they need to go. When the ceremony needs to begin, we can confirm that the right people are in place. If a vendor has a question during setup, they have someone who understands the overall plan.
Our team helps information move between all the different people involved in your wedding. That means you don’t have to become the central point of contact on a day when you should be enjoying yourself. We strive to work collaboratively with every vendor, trusting their expertise while always keeping one thing at the center of every decision: advocating for you and the wedding experience you envisioned.



When couples hear that we’re bringing multiple team members, I understand why it can sound like we’re simply adding more people to an already busy wedding day. That’s not the goal. We’re bringing enough people to properly care for everything we’ve been hired to oversee.
Think about how much can happen at the exact same time. One partner may be getting ready while the other takes photos. The florist could be finishing the ceremony installation while catering prepares for cocktail hour. Guests may already be arriving while the wedding party needs to line up somewhere completely out of sight.
There isn’t one single place where “the wedding” is happening. For most of the day, it’s happening in several places at once. Having a team gives us the coverage to be in those different places while still working from the same plan. We’re constantly sharing updates and looking ahead. That helps us make sure something happening in one area doesn’t create an issue somewhere else.

At the end of the day, this is probably the simplest way I can explain why I value having a team on site so much. You’ve spent months planning your wedding. You’ve made decisions, answered questions, chosen vendors, and thought through countless details. Once the wedding day arrives, you shouldn’t still be the person everyone turns to for answers.
You shouldn’t have to wonder whether the reception space is ready while you’re taking portraits. Your parents shouldn’t be tracking down transportation. Your wedding party shouldn’t need to figure out where a vendor should go. And you definitely shouldn’t have to answer logistical questions five minutes before your ceremony. That’s what we’re there for. Sometimes you’ll see us gathering people, checking spaces, moving things along, or talking with vendors. Other times, we’ll solve something completely behind the scenes. Meanwhile, you might be drinking champagne, taking photos, hugging your grandmother, or sitting down to dinner.
You may never even know there was something that needed our attention. To me, that’s the value of having your wedding planner team on site. It’s not about how many people are working your wedding. It’s about having a team that sees the entire picture and connects all the moving pieces. Most importantly, it gives you the freedom to actually experience the day you worked so hard to create.
